The Executive Assistant to the CEO plays a crucial role in ensuring the smooth running of the CEO’s office, offering high-level administrative support and managing day-to-day operations. This role provides both personal and rofessional assistance, including diary management, presentation support, data organisation, and general PA activities. The ideal candidate is proactive, detail-oriented, and able to handle confidential matters with discretion.
Responsibilities
- Manage the CEO's daily schedule, organising meetings and appointments
- Prioritise and coordinate incoming requests, ensuring the CEO’s time is used effectively
- Provide reminders and ensure all meetings are well-prepared, ensuring no overlaps or conflicts
- Coordinate and book travel arrangements (flights, accommodation, and transport) as required
- Assist the CEO with the creation and preparation of presentations, reports, and other business documents
- Collect, analyse, and present data to assist in decision-making, providing insights and summaries as required
- Ensure that all presentation materials are visually appealing, consistent with company branding, and accurately reflect key data points
- Track ongoing projects and assist with follow-ups and progress reporting
- Support in the execution of key company initiatives and ad-hoc projects as directed by the CEO
- Handle email correspondence, screening and directing enquiries to the appropriate parties
- Process expenses, handle invoices, and maintain financial records related to the CEO’s office
- Organise internal and external meetings, conferences, and events, providing full administrative support
- Prepare and review documents, contracts, and agreements before presentation to the CEO
- Provide personal administrative support as needed, ensuring the CEO’s daily personal affairs run smoothly
- Assist with the organisation and coordination of company events, employee engagements, and special projects
- Handle confidential and sensitive matters with the utmost discretion
- Proven experience as an Executive Assistant or in a similar role supporting senior leadership, preferably in a corporate or fast-paced environment
- Exceptional organisational and multitasking abilities
- Strong written and verbal communication skills
- Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word), and other tools such as project management software (e.g., Asana, Trello)
- A keen eye for detail, ensuring all work is completed to a high standard
- Discretion and the ability to manage confidential information
- Strong problem-solving skills and the ability to anticipate the CEO’s needs
- A proactive attitude, with the ability to work independently and under pressure
- Ability to work with senior stakeholders across different business areas.

- Experience with data analysis and reporting tools
Qualifications
- Bachelor’s degree or equivalent experience in business administration or a related field
- Relevant professional experience (minimum of 3 years) in an Executive Assistant or Senior Administrative role
